Job Description

In this role, you’ll be the driving force behind ensuring project success by coordinating and organizing key elements of multiple initiatives. You’ll oversee daily tasks, streamline communication, and provide insightful reports and updates to the Group Manager of Products and senior management. As an essential link in effective project management, you’ll help transform ideas into results while enhancing collaboration and customer satisfaction.

  • Maintain accurate and up-to-date project documentation, including project plans, budgets, schedules, status reports, and meeting minutes.
  • Provide administrative assistance to the Australian Product team, including scheduling meetings, booking rooms, and managing calendars.
  • Coordinate logistics for project-related events, workshops, and training sessions.
  • Coordinate project meetings, workshops, and review sessions, ensuring timely participation and follow-up actions
  • Assist in preparing agendas, documenting meeting discussions, and tracking action items.
  • Assist in the preparation and distribution of project-related communications, reports, and presentations.
  • Assist project managers in preparing project documentation as needed and in monitoring project progress and tracking key milestones, deliverables, and dependencies.

Qualifications

  • Tertiary qualified in project/program management or business eg. Bachelor of Business.
  • Balance of technical knowledge and business acumen
  • Advanced problem-solving skills and willingness to roll up one’s sleeves to get the job done
  • Skilled at working effectively with cross functional teams
  • Strong influencing and negotiating skills
  • Effective conflict management
  • Excellent documentation and writing skills as well as verbal communication skills
  • Strong organisational skills with the ability to manage multiple tasks and priorities simultaneously.
  • Previous experience in a project coordination or administrative support role
  • Proficiency in project management software and tools, such as Microsoft Project, Jira, or Shibumi
  • Experience working in a fast-paced, dynamic environment with rapidly changing priorities.
