Salary: R30, 000 per month

 

Overview:

Our client, who is based in London, is seeking a highly organized and detail-oriented individual to join the group of companies as a full-time Executive Assistant. The ideal candidate will possess strong written communication skills, be highly adaptable, organised and excel in a tech-savvy role. In this role, you'll manage executive schedules, coordinate meetings and travel, handle communication, and assist with key projects. You will play a vital role in ensuring smooth day-to-day operations in a fast-paced, creative environment.

Duties & Responsibilities

Responsibilities:

● Provide administrative support to the CEO and senior executives, including calendar

management and travel coordination.

● Serve as the main point of contact for internal teams and external partners.

● Assist in organizing meetings, events, and conferences.

● Prepare reports, presentations, and documents for the executive team.

● Manage project deadlines, task prioritization, and logistical support.

● Handle confidential information with discretion.

Administrative Support:

● Manage and prioritise the employer's schedule, appointments, and meetings, ensuring

optimal use of time and resources.

● Coordinate travel arrangements, including booking flights, accommodations, transportation, and itinerary planning.

● Handle correspondence, emails, phone calls, and other communications on behalf of the

employer, responding promptly and professionally.

Executive Assistance:

● Provide executive assistance and support as needed, including running errands, scheduling appointments, and managing household tasks.

● Anticipate the employer's needs and proactively address them, demonstrating a high level

of attentiveness and responsiveness.

● Handle confidential information and sensitive matters with discretion and confidentiality.

Relationship Management:

● Build and maintain positive relationships with stakeholders, including family members,

friends, colleagues, and service providers.

● Serve as a liaison between the employer and external parties, facilitating communication and ensuring smooth interactions.

Organization and Efficiency:

● Implement systems and processes to streamline tasks and improve efficiency in both

personal and professional aspects of the employer's life.

● Maintain accurate records, files, and documentation, ensuring easy access to information

when needed.

● Identify opportunities for optimization and suggest improvements to enhance productivity

and effectiveness.

Flexibility and Adaptability:

● Adapt to changing priorities and unforeseen circumstances, demonstrating flexibility and

problem-solving skills.

● Handle multiple tasks simultaneously and meet deadlines under pressure, without

compromising quality or attention to detail.

● Remain calm and composed in high-pressure situations.

Desired Experience & Qualification

Qualifications and Experience:

● Excellent written communication skills in English, with impeccable grammar and spelling

● Strong attention to detail and high accuracy in task completion

● A bachelor's degree in Business Administration, Office Administration, Management, or a

related field.

● Basic Accounting knowledge.

● Basic knowledge of Trello and Asana.

● Proven experience as an executive assistant or similar role, preferably in a high-profile or

executive environment.

● Excellent organisational and time management skills, with the ability to prioritise tasks

effectively.

● Discretion and confidentiality when handling sensitive information and matters.

● Proficiency in office software and communication tools, and email management systems.

● Proficiency in Excel and Chat GPT.

● Must be familiar with Excel.

● Experience with ‘drag and drop’.

● Skilled in project management.
